This policy explains how [YOUR TRADING ENTITY] (ABN [YOUR ABN]), trading as Clarke Industrial Intelligence ("we", "us", "our"), collects, uses and protects personal information when you visit clarkeii.com, book a call, or otherwise engage with us. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

1. What we collect

We only collect what we need to respond to you and deliver work. That includes:

  • Contact details you give us: name, email, phone, business name, and anything else you choose to share in a message or on a call.
  • Booking information when you schedule a call through our booking tool: name, email, the time slot you pick, and any notes you add to the booking.
  • Project information: anything you share about your business, workflows, software stack, files, or systems during scoping and delivery. This may include data about your customers, staff, or jobs if it's part of the work.
  • Technical information: standard web logs and analytics (IP address, browser type, pages viewed, referrer). We do not run third-party advertising or tracking cookies.

2. How we collect it

Directly from you when you email us, fill out a contact form, book a call, sign an engagement, or share materials during a project. Automatically from your browser when you visit the site (basic server logs).

3. How we use it

We use personal information to:

  • Respond to enquiries and run discovery calls.
  • Scope, quote and deliver custom software, automations and AI work.
  • Provide ongoing maintenance and support under a retainer.
  • Send invoices and handle payments.
  • Keep the website running and improve it.
  • Meet our legal and tax obligations.

We do not sell personal information. We do not use your data to train AI models. We do not run targeted advertising.

4. Who we share it with

We use a small set of third-party tools to run the business. Where they touch your personal information, they only do so to provide the service to us:

  • Cal.com for call bookings. Booking data (name, email, time) is processed by Cal.com on our behalf.
  • Maileroo for delivering contact-form submissions to our inbox. The form payload (your name, email, business name, trade, message) is sent to Maileroo only for the purpose of relaying that one email to us.
  • Email and hosting providers for correspondence and website hosting.
  • Accounting software (e.g. Xero) for invoicing and bookkeeping where you become a client.
  • Cloud infrastructure we use to host the software we build for you, with your knowledge, under the agreed scope.

We will not disclose your personal information to anyone else unless you consent, the law requires it, or it's necessary to enforce our rights.

5. Where your data is stored

Some of our service providers store data outside Australia (commonly the United States and the European Union). Where this is the case, we take reasonable steps to ensure those providers handle personal information consistently with the Australian Privacy Principles.

6. Cookies and analytics

The site may use essential cookies needed to make the booking embed work, and basic analytics to understand traffic. We do not use third-party advertising cookies or cross-site trackers. You can disable cookies in your browser; some parts of the site may not work properly if you do.

7. How long we keep it

We keep personal information for as long as we need it for the purposes above, or as long as the law requires (e.g. tax records). Where you've never become a client and there's no reason to keep your details, we delete them on request.

8. Security

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure. No system is perfectly secure, so we can't guarantee absolute security, but we use industry-standard practices (encrypted transit, access controls, reputable providers).

9. Your rights

You can ask us to:

  • Tell you what personal information we hold about you.
  • Correct anything that's wrong.
  • Delete information we no longer need.
  • Stop using your information for a particular purpose.
